How to send mass email to multiple contacts
Tuesday, January 29th, 2008Okay, the time has come. I have to explain something that… for me… is so important to running a business. It’s about email. Yes, it’s been around for a while. Yes, we all know a few different tricks. But I get a lot of questions about email from visitors to my site. One question that pops up a lot is: “How do I send an email to a whole list of customers all at once?”
Well, there are many “simple” answers… but also some “good” answers that may not be so obvious. You see, one way that you CAN do this (and most people do), is to click on a whole bunch of names from their address book, and insert them into the “To” field of the message they’re sending. Well, that’s fine. And, that also works. But each person will “see” everyone else’s email addresses.
So, sure… you can put all those addresses in the “BCC” (blind carbon copy) field so that no one can see them. Not so fast! Did you know if you have too many addresses in a BCC field, your ISP (Internet Service Provider) or the ISP’s that you’re sending out to, may shut you right down and “black list” you. This is how spammers operate, and ISP’s have gotten wise to it, so they’ve started blocking those types of emails. That means your email might not reach “any” of the addresses you’ve sent it to.
Another idea would be to make a “group” and put all the people you want to email to, into this group. For instance, I could have a group named “KC’s Contacts” and put 20 email addresses in that group. When I want to send or forward my message to those 20 contacts, I just put my “group” name in the “To” field. This is nice because it “hides” everyone’s email addresses, so that as the email gets passed along, my contacts’ addresses aren’t out there for everyone to see. Especially “spammers”!! But isn’t this a little cumbersome? For instance, what if today I only want to send to 15 of those 20 addresses? Make another group? And later another? No, too much effort.
So let’s say, for example, that you want to send one email to about 50 different clients (or more). Yet, you don’t want each person to see that it was ALSO sent to others? This may be the case if you’re sending out an email newsletter for your business. Wouldn’t you want each customer to think that YOU were specifically talking to THEM? It’s much more professional this way and gets a higher response.
